Data Sources
Data sources are the knowledge your chatbot draws from to answer questions. The more relevant content you provide, the better your bot's responses.
How it works
When you add a data source, CustomerHero splits the content into small chunks and generates vector embeddings for each one. When a customer asks a question, we embed their question and find the most relevant chunks using cosine similarity search. Those chunks are then included in the AI's context, so it can generate accurate, grounded responses.
Source types
URL
Paste a link to any public web page — your docs site, help center, blog post, or landing page. We'll fetch and extract the text content. You can set up automatic refresh schedules to keep the content up to date.
Text
Paste text content directly — product descriptions, internal policies, shipping information, or any knowledge you want the bot to have. Good for content that isn't published on the web.
Q&A
Add specific question-answer pairs. This is the most precise way to control responses for frequently asked questions. When a customer's question closely matches, the bot will use your exact answer.
Managing sources
All data sources are managed from your chatbot's Train tab. You can:
- Add new sources at any time
- Delete sources that are no longer relevant
- See the status of each source (processing, ready, or failed)
- Re-fetch URL sources to update their content
Automatic refresh for URLs
URL data sources can be configured to refresh automatically on a schedule (daily, weekly, or monthly). This ensures your bot always has the latest information from your docs or help center without manual intervention.
Tips for best results
- Be specific — instead of one long document, add multiple focused sources covering individual topics
- Use Q&A pairs for your top 20 most common questions
- Keep content up to date — outdated information leads to wrong answers
- Check your chatbot's analytics to find topics where the bot struggles, then add data sources to fill those gaps
